Reports To: Compliance and Secretariat Manager, Corporate Services
Grade: 6
The salary scale for this role is €32,560 - €51,591; with Long Service increments of LSI1: €53,282 and LSI2: €54,970.

In this role you will support the Compliance and Secretariat Manager and Procurement Manager to ensure corporate governance, legal and regulatory matters are dealt with in a timely and efficient manner.
What you’ll do
Support the Compliance and Secretariat Manager and Director, Corporate Services on all aspects of administration of board and committee meetings, including but not limited to, setting up meetings (invitations, booking rooms, booking catering, confirming numbers, confirming attendance, supporting on hybrid technology for meetings), preparing, reviewing, editing and publishing papers.
Support Compliance and Secretariat Manager on all aspects of the organisation’s compliance, including but not limited to, risk register updates, data protection matters, responding to FOI and AIE requests, co-ordinating ethics returns, and other regulatory requirements
Maintain and keep up to date all board and committee member files; and develop and implement efficiencies in maintaining board records. Maintain board member tracker and ensure it is kept up to date.
Co-ordinate the annual renewal of insurance policies across the organisation, maintaining an accurate record of policy documents and other relevant supporting files as well as supporting any internal insurance related queries.
Ensure Bord Bia website is kept up to date with all corporate governance updates and requirements, as requested by Compliance and Secretariat Manager.
Liaise with CEO Office on relevant matters and support that office on specific tasks, as required.
Co-ordinate the first draft of the annual report each year, and coordinate publication of the annual report on Bord Bia’s website, in both English and Irish, in accordance with statutory deadlines.
Support the procurement function on specific tasks, including but not limited to, maintenance of Club Travel profiles and closing off open tenders on e-tenders etc.
Develop and implement an organisation wide process for managing off-site document storage, to include rationalisation of existing storage and management of day to day requests.
